Taking Charge
As soon as the management contract is concluded, Dufour Cinq-Mars Ltée turns over the operation of the property to one of its experienced project managers - someone with a proven record in property management. That very day the manager takes the necessary steps to transfer the operation with a minimum of delay. All of the lessees are notified of the changes immediately.
During the first few days, we proceed to a detailed evaluation of personnel and equipment needs and we put in place the people needed to take over the management tasks without any break in the administration. We rapidly evaluate the quality of various employees such as the janitor service and rental agents; all this is done as soon as possible.
Financial Management and Secretarial Services
We immediately put in place an efficient system of financial management and the client receives a detailed monthly report of receipts and expenditures.
We offer secretarial services such as word processors for correspondence and a 24 hour personalized telephone system 7 days a week. This included computerized financial management covering the following:
- Deposit of all rent into the lessor's account
- Preparation of cheques to pay bills
- Ensuring bank statements
- Maintain a reliable system of receipts and disbursements
- Furnish a monthly statement indicating the bank balance, accounts payable and accounts receivable
- Monthly statement of banking transactions and cash availability
- Overall monthly report
- All of these elements set out above are found in our monthly report to the owner/lessor. Easy to assimilate and understand, this report allows the owner to keep on top of the financial evolution of his/her property
We also prepare annual projections of future budgets and financial statements. These include:
- Complete accounting services and annual financial statements;
- Preparation of corporate documents (annual returns etc.)
Rental Services
Gestion Immobilière Dufour Cinq-Mars Ltée undertakes the of rental agent for dwellings under its management. This is an essential part of real estate management. Renting a dwelling is like selling a property. The product to be sold is the space which is for rent.
The principal steps undertaken by our property managers are:
- Thorough knowledge of the dwelling in order to enhance the positive advantages
- Creating and using the most appropriate advertising methods
- Reliable telephone answering service for the purpose of setting up visits
- Attend visit to obtain signature of lease
- Obtain credit information to ensure the solvency of any prospective lessee
- Guaranteed availability
Days, nights and week-ends the rental agent must be available. All inquiries from potential lessees must be dealt with in a professional manner.
Rent Collection
We see to it that the lessee respects the legal requirements of the lease as to the payment of the rent on the first day of every month.
Our job is to take every necessary step to collect the monthly rent including, if necessary, legal recourses without additional fees for the client.
Maintenance Services
Any building under our management must be clean and liveable at all times both inside and out.
The role of the administrator is to insure an efficient maintenance service. Not only does this service meet the needs of the lessees, it diminishes the number of persons leaving the dwelling at the end of their lease. Consequently the quality of tenant is enhanced.
Repair and Renovations
Supported by a competent repair group, we are able to answer the legitimate demands of tenants promptly and satisfactorily.

- Performing repairs required by the proprietor
- Helping owners find ways and means of effecting repairs at the lowest cost

Emergency Services
Our 24 hour telephone emergency service responds effectively to all legitimate tenant demands.
This option may be used in any emergency situation by the superintendent or any tenant of the building both for security purposes and to avoid serious damages.

Owners benefit from the knowledge and expertise of our multidisciplinary team.
Such a service can result in finding cost-cutting solutions to operational problems and may lead to the settlement of certain disputes.

Management Fees
Fees for all of the services outlined above are based on a percentage of existing lease revenue. This means that the management group is only paid on dwellings actually under lease. Consequently, we are keen on renting all of the space available at the highest price possible. To establish the percentage charged, we will require additional information.
Certain Elements Of Our Rental Strategy
The key word in all rental operations is "availability".
Availability at all times; not only to answer telephone inquiries but also to visit properties and dwellings on a moments notice. Many clients look elsewhere if they are obliged to speak to an answering machine or if visits are not set up to suit the client's convenience.
At Dufour Cinq-Mars Ltée availability means that a client will be taken care of seven days a week from early morning until late at night.
Rental Agents
Rental of dwellings is, first and foremost, a question of teamwork and all of our employees consider it their duty to back up our rental agents. In general our rental agents are on commission. This helps stimulate their maximum efforts and contributes to their availability. They must be real salespeople - promoting the product and closing the deal.
Renewal Notices
Renewal notices are customarily sent during the early part of January each year for 12 month leases terminating on June 30. Since lessees have 30 days to indicate their intentions, this allows us to begin the rental cycle in early February thus attracting a larger and more interesting customer.
To save useless expense, notices are distributed by the superintendent who obtains signatures from the tenants attesting to the due delivery of the renewal notice. Any notices which have not been hand delivered are put in the mail on January 15th.
Lessee Data Bank
Beginning on January 10th, through a generalised advertising campaign, we create a data bank of potential lessees. It is important to note that many lessees who are unused to moving look around before deciding to send the required notice for terminating a lease. These are usually excellent clients and older citizens are often in this category. It is therefore important to take appropriate steps to retain this type of clientele.
